Director of Finance and Grants

Job Summary:

The International Institute of Buffalo is seeking an experienced controller to join our team as the Director of Finance and Grants to manage the organization’s financial operations, including accounting functions, grant administration, and business planning efforts. This role also has a primary responsibility of developing, improving and maintaining systems and processes that support our accounting and grant activities. This position has 2 direct reports, and oversees a team of 7-8 employees. This role is required to be on-site, 5 days per week.

JOB SUMMARY:

The Director of Finance and Grants will have responsibility for all of the organization’s financial operations. The Director will work to enhance internal systems to optimize productivity and minimize risk. This position requires proven leadership and hands on experience in accounting, with a strong focus on government grants, as well as experience with cash flow management, forecasting, variance analysis, and working knowledge of reporting software. The Institute’s financial team is small and this position requires an individual who can both supervise and mentor, as well as one who can step in as needed to perform accounting tasks like run payroll, cut checks, prepare reports, etc. Strong communication skills are required as it is key to work effectively with a variety of internal and external stakeholders. This position reports to the Executive Director, and prepares and presents monthly financials to the Board of Directors.

Qualifications:

EDUCATION:  Master’s degree in Finance or Accounting required.

EXPERIENCE:

  • Minimum 5 years of work experience within the scope of non-profit financial management.
  • Minimum 5 years of staff management including developing existing talent.
  • Strong verbal and written communication skills, and ability to prepare and clearly present financial information to the IIB Board of Directors, and present to both non-financial and financial-savvy audiences.
  • Experience performing accounting functions, knowledge of appropriate recording practices in nonprofit financial management and strong working knowledge of General Accepted Accounting Principles (GAAP), 501 (c)(3) provisions and the FASB changes to financial reporting impacting nonprofits.
  • Advanced knowledge of Excel, QuickBooks, Blackbaud, Windows-nonprofit desktop edition or similar and ADP payroll system.
  • Ability to function in a collaborative and collegial environment, sensitivity to others, high degree of integrity, and excellent judgment.
  • Ability to anticipate and establish appropriate internal controls in all areas, emphasizing accounting, finance, operations, and software applications security.
  • Familiarity with audit, compliance and internal control issues and best practices in risk management and insurance.
  • Strategic and tenacious in achieving objectives; demonstrated ability to handle multiple projects simultaneously with excellent follow through and attention to detail.
Duties And Responsibilities:

Strategic Leadership

  • Leadership: Serve as the senior finance officer and oversee all fiscal and fiduciary responsibilities, including serving as the executive point of contact for all federal, state and county funders, and oversight over sub-contract grants.
  • Staff Management: Regularly meet with and review the work processes of staff.
  • Planning: Collaborate with the Executive Director, Board of Directors, and senior staff to develop short- and long-term finance and organizational strategies.
  • Reporting: Ensure monthly and quarterly financial activities outlined in the proscribed operating schedule are performed accurately and timely.
  • Budgeting: Lead, design, and manage the annual budget development process. Collaborate closely with the relevant department directors around grant and donor projections and financial record keeping.
  • Financial Analysis: Provide financial insight and support to colleagues for grants management, fundraising and donor reporting.
  • Risk Management: Develop and implement policies and procedures to provide internal controls and protect organizational assets. 

 

Financial and Process Management:

  • Accounting: Oversee the collection, recording, processing, and reporting of all financial transactions, including accounts payable/receivable, payroll, taxes, general ledger, and fixed assets.   • Financial Statement Preparation: Develop financial statements for leadership and board review to convey financial accomplishments.
  • Payroll: Oversee the preparation, submission and funding of bi-weekly payroll; preparation and submission of employee/employer benefits including 403(b) remittance. Serve as back up payroll administrator.
  • Cash Management: Oversee preparation of cash projections and manage cash flow and forecasting to adequately fund operational needs.
  • Audit: Manage the annual financial audit process, including liaising with external auditors and the finance/audit committee of the board of directors.
  • Compliance: Ensure compliance with all state and federal legal requirements governing non-profit organizations, including tax, legal, and regulatory requirements.

 

Grants Administration:

  • Understand and oversee the Institute’s multiple federal, state, and private grants that fund services to our clients.
  • Work with the grant-funded program departments to provide oversight, management and development of policies relating to the Institute’s pursuit, acquisition and administration of grants.
  • Oversee the collection, maintenance, and dissemination of grant award contracts/agreements, maintain accurate institutional data related to grants, and participate in internal and/or external audits of department grants/contracts, as needed.
  • Collaborate and manage our grant associates, ensure processes are followed.

Working Conditions:

On site, in office, 5 days per week. Office environment requires employees to consistently use manual dexterity in reaching, writing, navigating around the workspace. This position requires fully functional vision and auditory abilities. This position may include hours standing and walking, including up and down stairs, moving items of up to 30-pounds.
